12-Month Countdown
Kilimanjaro + Safari Planning Timeline
From 12 months out to departure day — every step, every checklist item, every decision you need to make, in order.
Booking a Kilimanjaro and safari combo is more complex than a standard holiday — permits, gear, fitness training, altitude, multiple destinations. This timeline covers everything you need to do, and when. No jargon, no guesswork. We have been doing this since 1978.
Kili Safari Planning Timeline | 12-Month Guide
Booking
- -Confirm your travel dates and duration — 10-21 days is the typical range for a combo trip
- -Submit a booking enquiry with your preferred dates and group size
- -We check permit availability for your target climb window
- -Sign the booking form and pay the 30% deposit to lock in your logistics
- -Receive your pre-trip information pack including gear list and fitness guide
Flights and Visa
- -Book international flights to Kilimanjaro Airport (JRO) — arrive day 1, depart day 10-21
- -Check visa requirements: most nationalities get a Tanzania tourist visa on arrival ($52 at JRO)
- -Your passport must be valid for at least 6 months from your arrival date
- -Consider travel insurance that covers high-altitude trekking and emergency evacuation
Health Preparation
- -Visit your doctor for a routine health check — no formal medical required but recommended
- -Discuss altitude prophylaxis with your travel medicine specialist (Diamox may be recommended)
- -Check Yellow Fever vaccination requirements — needed only if arriving from a yellow fever country
- -Get vaccinations: Hepatitis A, Typhoid, Polio, and Tetanus are standard for Tanzania

Fitness Training
- -Begin a structured fitness programme — aim for 4-6 hours of cardio per week
- -Incorporate hiking-specific training: stair climbing, loaded backpacks, elevation gains
- -Target 8-10km hikes with 500m+ elevation gain on weekends by month 2
- -Rest and sleep quality matter as much as training volume — prioritise recovery
Gear and Packing
- -Order or buy your technical gear: hiking boots (broken in!), sleeping bag rated to -20C, trekking poles
- -Layer system clothing: base layers, mid layers, shell jacket — Tanzania mountain nights are cold
- -Purchase personal medications: Diamox (altitude), ibuprofen, rehydration salts, blister plasters
- -We send a full packing list on booking; review it carefully and cross-reference early
Financial
- -Budget for: international flights, Tanzania visa ($52), tips for mountain crew ($260-400), personal gear, travel insurance
- -Notify your bank of travel dates to avoid card blocks in Tanzania
- -Carry USD cash for tips and incidentals — small denominations ($1, $5, $10) for tips are ideal
- -Confirm final balance payment deadline (typically 60 days before departure)

Last-Minute Logistics
- -Reconfirm your airport transfer and arrival hotel with us
- -Download offline maps and any needed travel documents
- -Check bag weight limits for internal flights (often 15-23kg per person)
- -Leave a copy of your itinerary and passport details with a family member or friend
Physical Preparation
- -Taper your training intensity in the final 2 weeks — rest is as important as training now
- -Get adequate sleep: 7-9 hours per night in the lead-up
- -Hydrate aggressively: aim for 2.5-3 litres of water per day
- -Avoid new or experimental supplements in the final week
Mountain Mindset
- -Kilimanjaro is a mental challenge as much as physical — visualise the summit night
- -Understand that altitude affects everyone differently: listen to your body, not your ego
- -Know the signs of altitude sickness and communicate openly with your guide — no heroics
- -Remember: the mountain gives what it gives. Summit or not, the experience is extraordinary.

Questions
Planning Questions Answered
How far in advance do I need to book a Kilimanjaro and safari combo?
We recommend booking at least 3-6 months in advance, and 6-12 months for peak season (June-October). The longer your trip and the more specific your dates, the earlier you should book. Last-minute bookings are sometimes possible but permits and availability become constrained.
What is the deposit and cancellation policy?
We require a 30% deposit to confirm your booking. The balance is due 60 days before departure. Cancellations more than 60 days before departure receive a full deposit refund minus a small admin fee. Within 60 days, the deposit is non-refundable but we can usually transfer your booking to a new date.
Do I need special travel insurance for Kilimanjaro?
Yes — standard travel insurance is not sufficient. You need a policy that explicitly covers high-altitude trekking (above 3,000m) and emergency medical evacuation by helicopter. Standard policies often exclude altitudes above 4,000m. We can recommend insurers who specialise in adventure travel.
Can I extend my trip to include Zanzibar?
Absolutely. Zanzibar is the most popular post-safari extension. Fly 1.5 hours from the safari circuit to Zanzibar Airport (ZNZ). We offer beach extension packages from $416 per person for 3 nights at a mid-range hotel. The combination of summit, safari, and beach represents the complete East African journey.
What if I need to reschedule due to a flight delay or emergency?
We have flexible rescheduling policies. If you need to move your dates due to circumstances outside your control (flight cancellations, medical issues), contact us as soon as possible. We treat rescheduling as a first option rather than a cancellation wherever possible.
Is it safe to drink the water in Tanzania?
On the mountain: yes — we provide filtered and boiled water at every camp. On safari: bottled water is provided in our safari vehicles. In Arusha and towns: stick to sealed bottled water, and avoid ice in drinks unless you are certain it is made from purified water.
